Title: Director – Projects / Operations

Role Description:
Director – Operations are responsible to strategize and execute the operational plans for UWBe in the most efficient and effective manner. Empowering and enabling the team to deliver program objectives; managing the funds and budgets for programs; building strategic partnerships; involved in capacity building of partners and setting up the research vertical for UWB are a few key aspects of the role. The role also is a customer facing role, to show case the project performance and taking the customer through the partnership journey.

The Director – Operations along with the ED & Director – Finance constitutes the core management team of United Way, Bengaluru. The position reports into the ED of UWBe.

Responsibilities:
Strategic Priorities and Operational Plan
– Participate in identifying strategic priorities for the organization along with the leadership team
– Create annual operational plan in line with the strategic priorities identified for UWBe
– Ensure collaboration and synergies across various functions like Corporate Relations and Finance to enable smooth operations
– Handled Large Grants and Multiple Projects (Around 50 Crores)
– Provide progress updates to the stake holders as and when required

Program Management and Implementation
– Create standard operating procedures for program management to ensure all programs are delivered efficiently. Ensure program objectives and outcomes, theory of change, log framework, documentation, monitoring and evaluation, program assessment, capacity building of implementation partners are all a part of the standard operating procedure
– Define the program selection criteria. Define percentage of work that will be done in domains (health, education, environment, livelihood) that are focus areas for UWBe and percentage of work in other domains
– Budgeting, Financial inflow / outflow management, Budgeting, Time Sheet management,
– Define a robust monitoring and evaluation framework. Ensure outputs and outcomes are measured on a regular basis and published to relevant stakeholders
– Collaborate with the Corporate Relations team to ensure programs are well defined and articulated at proposal and MoU stage
– Client Facing experiences with Multi vertical projects
– Handling Multiple Verticals Team members
– Ensure resources and budgets are managed efficiently across all the programs

Research and Advocacy
– Set up the research arm and define the research mandate for UWBe
– Oversee the research function and ensure extensive research is conducted on the domains that UWBe works in. Identify areas, geographies and issues that are priorities. Use the research outcomes to write out white papers, articles, knowledge bites and ensure it is disseminated to the right audience
– Ensure landscape research is conducted before working in a new domain as input into the program design to help sharpen the program outcomes

Capacity building of NGOs and other stakeholders
– Define the capacity building model for NGOs, other critical stakeholders and the community
– Ensure clear metrics are defined to help assess the outcomes/ impact of capacity building initiatives
– Ensure capacity building calendar is released and adhered to for the year. Bring in internal and external experts to conduct capacity building workshops/ seminars
– Build internal capacity to write proposals, program outcomes, log frameworks and other programmatic components

Strategic Partnerships and Relationships
– Build and maintain strategic partnerships and relationships with the Government, large NGOs/NGOs key sector entities to help build presence and brand for UWBe
– Identify opportunities to bring various stakeholders together to deliver social impact
– Identify strategic and technical partners across various domains that UWB focuses on

Team Development
– Train and develop team members to achieve their goals and improve performance
– Set clear expectations and goals for team members and monitor progress
– Coach and mentor team members to build their capability and create successors for each level

Selection Criteria

Experience – At least 20 years of work experience
– At least 10 years of program management/ project management/grassroots level experience
– At least 8 years of Leadership level/Director level experience
Education Bachelors Masters/ Post Graduates
Languages needed English, Hindi, Kannada (any other regional languages)

Name of the Position: Consultant (Documentation & Communications)

Purpose of the Role:
Maintaining documentation of all important and critical process carried out to improve the program intervention indicators.

The responsibilities and accountability includes:

  • Assisting program manager to prepare and finalise all programmatic reports and data base for the projects (quarterly, annually).
  • Preparing presentations for review meetings, donor’s report, program presentations, reports for all events, campaign activities and ensure social media advocacy.
  • Development of Social media content for Facebook, Instagram and Twitter and posting of the story on regular basis for program visibility.
  • Compiling and recording of all the events / activities and minutes of meetings.
  • Development of case stories and success stories
  • Monthly collation of all work with program team through narrative reports
  • Regular visit to field with program teams to capture impact stories and photo & video shoots
  • Knowledge of graphic designing, Photoshop, photo editing, creative presentation
  • Work closely with MnE specialists to strengthen result management and deliverables
  • Develop stories for and external communication materials for various outlets, such as – website, newsletter annual reports and media platforms like – Facebook, Insta, twitter, LinkedIn etc.
  • Perform any other duty assigned by program manager as per need.

Essentials:

  • Educational Qualifications – Masters in Mass communication / Social work. Additional diploma course related to Mass Comm would be having additional weightage to the candidate.
  • Must be having minimum 4-5 years of experience working on similar skill set

Name of the Position: Consultant (Training Coordinator)

Purpose of the Role:
To coordinate all the trainings for program specific requirements.

The responsibilities and accountability includes:

  • Shall be responsible for coordinating all training programs to be carried out under the project.
  • Shall be responsible for anchoring training programs.
  • Network and liaison with concerned representatives from various govt. departments to seek permission, guidelines, finalisation of training manuals, modules, IEC materials to organize training.
  • Provide necessary back end and front end support to the program team and resource persons / consultant in conducting sessions
  • Point of contact (POC) for trainees resource persons / consultants and other stakeholders
  • To facilitate training sessions along with resource personnel.
  • To facilitate data collection for monitoring and evaluation of program to measure the effectiveness of trainings
  • Assist Program manager in program as per need and requirement.
  • Regular field visit to monitor and supervise the learnings of training of trainees.

Essentials:

  • Educational Qualifications – Masters in Social work / Sociology.
  • Must be having minimum 4-5 years of experience working on similar skill set

Role Description
Project Coordinator has to play an important part in designing and implementing the rural development project in Devanahalli taluk near Bengaluru. The person will be responsible for undertaking and implementing all the activities in this project. This project is of key importance to the organisation in terms of bottom up approach adopted in designing and implementation and developing goodwill for the CSR donor. This is a CSR funded project with clear timelines, deliverables and outputs to achieve. The person has to be on the ground ensuring all the activities are completed as per the agreed timelines and quality. The person has to develop good relationships with all the stakeholders in the two gram panchayat for smooth implementation of the project.

The project provides a very good opportunity to the likeminded candidate in terms developing skills and knowledge in integrated rural development domain with specific responsibilities such as – monitoring of implementation partners / NGO / stakeholders, managing program funds, managing partnerships and Government relationships, sharing reports and updates, building capacity of NGOs and communities, working in diverse sectors such as water conservation, health, education, women’s livelihood etc.

Project Duration
3 years

Contract duration
One year. The contract will be renewed every year only based on the satisfactory performance

Responsibilities

  • Program activity implementation as per agreed timelines
  • Providing inputs to the program team to design the need based program
  • Conduct field visits and data gathering activities for needs assessment / surveys
  • Creating a micro project implementation plan with the project teams and implementing it
  • Documentation of the project activities
  • Weekly reporting of the project progress, challenges and solutions
  • Regular connects with all the stakeholders of the projects in both the gram panchayats as well as with the taluk panchayat
  • Working with project vendors in ensuring work completion as per agreed terms, timelines and quality
  • Ensure program documentation and process is followed as defined by the project team
  • Build capacity of the stakeholders to help them deliver program objectives and be more transparent in their interactions
  • Liaison with the Government officials/ local village administration to seek approvals, build relationships and ensure smooth delivery of program objectives
  • Provide needed on ground support to the project teams and the vendors on water conservation activities
  • Closely work with women self-help groups (SHGs) and promote entrepreneurship. Regular contacts and meetings with SHG women, create awareness about benefits of entrepreneurship. Explore marketing options for women enterprises
  • Follow-up livestock activities promoting sustainable livelihood and maintain the database of beneficiary
  • Provide end to end support to the project team in implementation of SHG digitization process
  • Facilitate in conducting Entrepreneurship Awareness Program (EAP), Entrepreneurship Development Program (EDP) to motivate women to take up micro-enterprises
  • Daily update of the project progress to the Senior Project Manager
  • Implement branding activities of the project such as banners, posters, wall paintings etc. as per the need
  • Collaborate with the corporate relations team to plan specific events and volunteering activities for corporates during the year
  • Ensure all the program related paperwork is submitted on salesforce for approval and disbursement of funds
  • Collaborate with the Finance and Accounts team to ensure adherence to process on vendor selection, registration and engagement

Qualifications and Experience

  • Bachelor/Masters in Social Work/Anthropology/ Sociology/Rural development/Community Development
  • MUST – Experiences of working with the SHGs, PRIs, Government departments, farmers, community mobilisation, implementing rural
    development projects
  • MUST – Good understanding of rural development issues, keen to work in rural atmosphere
  • Minimum 3-4 years of experience
  • Computer literate – MS word and excel

Reporting to
Project Manager

Project description
United Way Bengaluru is implementing a health system-strengthening project in Urban Bengaluru specific to the Urban Primary Health Centers. The focus areas are infrastructure and equipment upgradation and building community outreach with the measured outcome to achieve — improved utilization of the UPHC services. This is a CSR funded project with rigid timelines and defined deliverables to achieve. The project duration is one year.

Key responsibilities

  • Complete on ground activity implementation responsibility
  • Facilitate visits of the baseline team to the selected 5 UPHCs
  • Develop good and cordial relationships with all the stakeholders at the 5 UPHCs
  • Work with the project manager and the civil engineer contractor in refurbishing the UPHCs as per the agreed plan of work, quality and timeline
  • Work with the project team in designing the training program for the front line health workers
  • End to end responsibility of training implementation and community outreach
  • Work with the front line health workers across the 5 UPHCs in planning, implementing and monitoring community outreach activities
  • Build good relationships with the stakeholders at the UPHC and the community
  • Ensure all activities are completed as per the plan and timeline
  • To make preparation for donor visits and volunteering activities as and when needed
  • Be part of the periodic project review meetings and present the updates including weekly / monthly /quarterly reports
  • Complete ownership of the photo / video documentation especially the infrastructure work and community outreach work

General responsibilities
